Information we collect

Depending on how you contact or use our services, we collect:

  • Your name, email address, telephone number and correspondence.

  • Your selected therapy type, message, availability and any health or other sensitive information you choose to provide.

  • For therapists: professional and contact details, profile information, room bookings, agreements and payment records.

  • Technical information such as your anonymised IP address, browser, device and activity on our website.

We collect information directly from you and through your use of our website. Therapists also provide their availability and other details so we can respond to client enquiries.

Clients looking for therapist

We use client enquiry information to check therapists’ suitability and availability and send details of therapists that clients may wish to contact.

With a client’s explicit consent, we share selected therapy type and message, including any health information that are provided, with independent therapists participating in our referral service. This may involve several therapists, rather than one person selected in advance.

We do not share the name or email address entered in the separate enquiry fields with therapists. Please avoid putting names, contact details or other identifying information in messages. Removing a name does not necessarily make a detailed message anonymous.

Providing this information is voluntary, but we need sufficient information and consent to arrange a referral. Alternatively, clients can use our therapist directory to contact a therapist directly.

Independent therapists are responsible for their own handling of personal information and therapy records. Please ask a chosen therapist for their privacy notice.

Why we use your information

Our legal grounds for using personal information are:

  • Consent: to handle your therapy enquiry and arrange referrals. For health and other sensitive information, we rely on your explicit consent.

  • Contract: to take steps at your request before a room-hire agreement and manage that agreement.

  • Legitimate interests: to answer general enquiries, administer our business and protect our website against misuse.

  • Legal obligations: to maintain records required by law, including accounting records.

You can withdraw consent at any time by emailing us. This stops future processing based on that consent but does not affect processing already carried out lawfully. Withdrawing referral consent means we cannot continue arranging your referral.

Who else receives information

Where necessary, we use providers of website hosting, email, referral software, booking, accounting, security and website measurement services. Cloudflare helps protect our website and forms against spam and misuse.

We may also share information with professional advisers or authorities where legally required or otherwise lawfully necessary.

We restrict access to people and providers who need it and use appropriate security measures to protect it.

Cookies and website measurement

We use cookies and similar technologies to operate and secure the website, understand its use and measure marketing performance. Embedded content, such as maps or videos, may also involve third-party providers collecting technical information.

Where consent is required, we ask before using these technologies. You can manage your choices through your browser. Further details about their purposes, providers and duration are available there.

How long we keep information

We keep information only for as long as needed for the purpose for which it was collected:

  • Therapy enquiries: while handling your referral and necessary follow-up.

  • General enquiries: while resolving your enquiry and any related issues.

  • Therapist and room-hire records: during our working relationship and afterwards where needed for accounting, contractual or legal requirements.

  • Technical records: for the period needed for security, troubleshooting and website measurement.

When deciding retention periods, we consider the sensitivity of the information, whether the matter is still active and any legal requirements. We then securely delete or anonymise information that is no longer needed.

Your rights and complaints

Depending on the circumstances, you can ask to access, correct or delete your information, restrict its use, or receive a portable copy.

You can object to processing based on legitimate interests. You can also withdraw consent at any time.

Contact us using the details above to exercise your rights or raise a concern. We normally respond to rights requests within one month.

You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

We may update this policy when our services or use of information changes. The date above shows when it was last updated.
